How to Prepare for a CQC Inspection
A practical guide for registered managers and care home owners

CQC inspections can feel high-stakes — because they are. Your rating affects your reputation, your occupancy, and your ability to operate. But preparation doesn't have to be overwhelming. This guide breaks down what you need to do, when to do it, and what inspectors are really looking for.
Understanding the New Assessment Framework
CQC has moved to a single assessment framework that applies across all health and social care services. Inspections now focus on evidence across five key questions:
- Safe: Are people protected from abuse and avoidable harm?
- Effective: Does care achieve good outcomes?
- Caring: Are staff kind, compassionate, and respectful?
- Responsive: Are services organised around people's needs?
- Well-led: Is there effective leadership and governance?
The new framework places greater emphasis on outcomes and evidence. It's not enough to have policies — you need to show they work in practice.
Before the Inspection: Ongoing Readiness
The best inspection preparation happens every day, not in the week before inspectors arrive. Build these habits into your routine:
1. Keep your documentation current
- • Care plans reviewed monthly (or when needs change)
- • Risk assessments up to date
- • Incident logs complete with learning and actions
- • Staff training records current
- • Audits completed on schedule with action plans
2. Maintain your evidence portfolio
Don't wait until inspection to gather evidence. Keep a running portfolio of:
- • Compliments and positive feedback
- • Examples of person-centred care
- • Quality improvement initiatives
- • Staff development and achievements
- • Community engagement
3. Address issues as they arise
Inspectors understand that problems happen. What they want to see is how you respond. Document your complaint handling, incident investigations, and the improvements you've made as a result.
When You Know an Inspection is Coming
Most inspections are unannounced, but some services receive up to 48 hours notice. Either way, here's your checklist:
Immediate priorities
- Brief all staff — not to memorise scripts, but to understand what inspectors look for
- Ensure key documents are accessible (not locked away or on a computer no one can access)
- Walk through the premises — any obvious issues to address?
- Check staff know who to contact if you're not available when inspectors arrive
Essential documents to have ready
- • Statement of Purpose (current version)
- • Service User Guide
- • Staff roster and training matrix
- • Recent audit reports with action plans
- • Complaints log and responses
- • Safeguarding records
- • Medication policies and MAR charts
- • Sample care plans (the inspector may ask to see specific ones)
On the Day
When inspectors arrive
Stay calm. Inspectors aren't trying to catch you out — they're trying to understand how your service works. Welcome them, offer refreshments, and provide a space to work.
During the inspection
- Be honest. If something isn't working well, explain what you're doing about it
- Use specific examples. "We do person-centred care" means nothing. A story about Mrs Jones means everything
- Don't hover. Let staff speak for themselves — coaching looks suspicious
- Take notes. You may want to refer back to what was discussed
At the feedback meeting
Inspectors will share their initial findings before leaving. This is your chance to provide additional context or evidence they may have missed. Listen carefully, take notes, and ask clarifying questions if needed.
After the Inspection
You'll receive a draft report for factual accuracy checks. Review it carefully — this is your opportunity to correct errors before publication. Once published, your rating appears on CQC's website and must be displayed at your premises.
If you receive "Requires Improvement" or "Inadequate" ratings, you'll need to submit an action plan. Focus on specific, measurable improvements with realistic timescales.
